AI Policy

Introduction

We recognise that Artificial Intelligence (AI) is a developing technology that can enhance efficiency and remove some barriers (eg accessibility and/or language) for some. We have created this policy to outline our position on the use of AI. For clarity, when we refer to AI within this document, we mean tools such as ChatGPT, Copilot, Plinth, Scribe etc.

Our position on the use of AI

We understand that AI can assist organisations to write funding applications. We will not reject applications that have been created with the use of AI. However, we expect applicants to thoroughly check the accuracy of automated responses to ensure their application is not misleading or inaccurate.

We may use AI to assist with grant assessment and/or management tasks such as determining eligibility, completing due diligence checks, drafting communications, generating assessment reports and creating statistical reports etc. However, AI suggestions and findings will always be verified by human insight. We will use AI to complement but never replace human decision-making. The board of Trustees continues be fully responsible for all grant making decisions.

Compliance

Any AI tools we use must meet our data protection, security and ethical standards. We will carry out checks to ensure that any AI provider(s) we use enter into GDPR compliant data processing agreements with their third party contractors.

Review

We will regularly review the impact of AI on our work and processes and adapt our use accordingly as technology and ethical considerations evolve.
