JUSTIFICATION

This information is processed according to Article 6 of the General Data Protection Regulation for the following reasons:

  • as necessary for the performance of tasks carried out in the public interest, in this case the disbursement of funds to a variety of registered charities who meet the Yapp Charitable Trust’s charitable objects, with the consent of individuals and organisations;
  • as necessary in the pursuit of the legitimate interests of the charity, in this case, to acquire the information necessary to process grant applications
  • for compliance with legal obligations, in this case to provide full and accurate information to the Charity Commission concerning the Trustees of the Trust.

RETENTION PERIOD

The Yapp Charitable Trust reserves the right to hold data related to grant applications for archive purposes in order to facilitate a high standard of due diligence which will enable the charity to continue to fulfil its charitable objects.

We regularly review what information we hold and delete what is no longer required. For successful grant applications, we will retain your data for up to 7 years in line with financial best practice for our accounting purposes. Data relating to ineligible and eligible (but unsuccessful) grant applications will be retained for up to one year.

PERSONAL DATA SECURITY

We will take reasonable technical and organisational precautions to prevent the loss, misuse or alteration of your personal information. The Yapp Charitable Trust will store all the personal data you provide on its secure cloud based services including Salesforce, Microsoft OneDrive and Microsoft Office 365 and an additional encrypted back up on a hard drive. This information is protected using both password management tools and data encryption.

DISCLOSURES

We may disclose information about you to any of our Trustees, agents, suppliers or subcontractors insofar as reasonably necessary for the purposes as set out in this privacy statement. We currently reserve the right to pass information provided to us by applicants to other Trusts and Foundations. In addition, we may disclose your personal information:

  • to the extent that we are required to do so by law;
  • in connection with any legal proceedings or prospective legal proceedings;
  • in order to establish, exercise or defend our legal rights (including providing information to others for the purposes of fraud prevention and reducing credit risk); and
  • to any person who we reasonably believe may apply to a court or other competent authority for disclosure of that personal information where, in our reasonable opinion, such court or authority would be reasonably likely to order disclosure of that personal information.

Except as provided in this privacy statement, we will not provide your information to third parties.

CROSS-BORDER DATA TRANSFERS

Information that the Yapp Charitable Trust collects may be stored and processed in and transferred between any of the countries in the EU in accordance with this privacy statement. In addition, personal information that you submit for publication on the website will be published on the internet and may be available around the world.
